Terms and Conditions of the 2020 ASA Style File Illustration Award Mentorships

Please read the following terms and conditions carefully before submitting your work to the 2020 ASA Style File Illustration Award Mentorships, as submissions that fail to meet our requirements will not be accepted.

Eligibility for Entry

1. Entrants must be aged 18 or over when applying.

2. Entrants must be Australian citizens or permanent residents.

3. Entry is free for current financial members of the ASA. Non-members may enter but must pay an administration fee of $45 (inc GST) per entry.

4. Entries will be accepted in the following two categories: a) portfolio mentorships or b) picture book mentorships.

5. Entries must be written in English.

6. Entries must conform to the submission requirements and the following limitations:

  • All documents must be submitted in PDF or Word Document format.
  • Written statements must not exceed 300 words.
  • Portfolios must not exceed 20 images.
  • Picture book flatplans must be submitted on the template provided.

7. Multiple entries are acceptable provided that each entry must be submitted through a separate entry form and will attract a separate fee for non-members of the ASA. Only one portfolio or illustration project can be included per entry.

8. Entrants must have a complete first draft available when submitting a picture book to the mentorship program that is not (a) the subject of current discussions or negotiations with a publisher; or (b) under contract to a publisher or agent. If a publisher or agent makes an offer on a submission prior to the date of the announcement of the mentorship winners, you must send the ASA an immediate withdrawal notice from this award.

9. Entrants must not have previously been awarded a Copyright Agency funded mentorship through the ASA in the last five years.

10. ASA board members and staff are not eligible to apply.

11. Refunds will not be issued for entries that do not meet the terms and conditions and are deemed ineligible.

12. Receipt of entries will be acknowledged by on-screen confirmation after submission. The ASA takes no responsibility for entries that have not been submitted correctly.

The Award Mentorships

13. The best five (5) entries will be awarded a fully-funded Copyright Agency Cultural Fund mentorship, each consisting of 3 hours of mentoring.

14. The five winning entrants will also receive a free copy of the ASA's Trade Publishing Agreement for Illustrators.

15. The five winners will be asked to select their three preferred mentors from the ASA mentors register and must place their choices in order of preference. The ASA will do its best to connect winners to their selected mentors, in order of preference, but cannot guarantee their choice.

Assessment Criteria

16. The ASA will appoint two assessors, experienced in illustration and/or picture book publishing. The assessors will determine the five successful entrants who will be offered a mentorship.

17. Entries will be assessed according to the standard/quality of illustration and developmental potential.

18. The assessors’ decision is final and no correspondence will be entered into either during or after the assessment process. Chance plays no part in determining the five successful entrants.

19. The ASA reserves the right not to offer all five of the mentorships if the assessors, in their reasonable opinion, consider that the entered works are of insufficient merit.

Intellectual Property Warranties

20. In entering the competition all entrants warrant that:

  • their entry is their original creation;
  • their entry does not infringe any intellectual property rights, including copyright of any third party or any other rights of any person;
  • to the best of the entrant’s knowledge, their entry contains no defamatory matter, or any matter that invades any individual’s rights of privacy.

21. If entering the competition with a picture book project, entrants warrant that:

  • The entry has not been published or licensed for publication or made publicly available in any form anywhere throughout the world.

Key Dates

22. Entries open at 9am, AEST, on 7 September 2020.

23. Entries close at 9am AEDT 12 October 2020 (extended from 2 October 2020, 5pm AEST). Late entries will not be accepted.

24. The successful entrants will be contacted by phone or email on 28 October and announced publicly on 4 November 2020 with the mentorships commencing in November 2019, subject to contracting mentors.

25. The Award Mentorships must be completed by 30 March 2021.

Limitation of Mentorships

26. Mentoring helps creators improve their work, not secure publication. Mentors do not provide referrals to publishers or agents as part of this program.

27. While the ASA has received very positive feedback on its Mentorship program, the ASA does not warrant the suitability of the mentors to provide these services nor does it accept any liability for the performance of the mentors. The mentors are not employees of the ASA.

28. The mentorships are not transferable to any other work other than the work entered and are not redeemable for cash or any other goods or services.

Privacy

29. To provide the Award Mentorships, the ASA needs to collect personal information from the entrants. If entrants do not provide the information requested, the ASA may not be able to provide them with entry.

30. By entering this Award, the entrant consents to the ASA collecting their personal information for the purposes of administering this Award. The ASA may disclose their personal information to the assessors and mentors. The ASA may use the entrant’s name and submission details for the purpose of announcing the winners of the Awards Mentorships.

31. By entering the Award you accept the conditions of entry as prescribed and give consent for your work to be considered for a mentorship.

32. The promoter of this Award is the Australian Society of Authors (A.B.N. 26 008 558 790), Suite C1.06 22-36 Mountain Street, Ultimo NSW 2007.
